How to Manage Customers

These instructions cover customers stored directly in CrumbsOS. Stripe customer synchronization and Stripe-related customer functions are not included.
Open Customer Management
- Select Manage from the navigation bar.
- Select Customers from the management sidebar.
The Customer Management page provides:
- Customer creation
- Customer search
- Archived-customer viewing
- Customer contact details
- Edit and Archive controls
- Admin Tools
Admin Tools Off
With Admin Tools turned off, Customer Management operates as a viewing and search page.
Users can:
- View existing customers
- Search the customer list
- Include or hide archived customers
The Create a New Customer button and customer-management actions are hidden.
Admin Tools On
Enable Admin Tools to:
- Create customers
- Edit customer information
- Archive customers
Create a Customer
- Open Manage → Customers.
- Turn Admin Tools on.
- Select Create a New Customer.
- Enter the customer’s first name.
- Enter the customer’s last name.
- Optionally enter an email address.
- Optionally enter a phone number.
- Review the default display name.
- Select Save Customer.
CrumbsOS displays a confirmation when the customer has been saved successfully.
Customer fields
First name
Enter the customer’s first name.
Last name
Enter the customer’s last name.
The first and last name are used to generate the customer’s default display name.
Email — optional
Enter the customer’s email address when it is needed for identification or contact.
Phone — optional
Enter the customer’s phone number.
Phone numbers can also be used to locate the customer through search.
Display name
During creation, CrumbsOS indicates that the display name defaults to:
First Last
The display name can be edited after the customer has been created.
Cancel customer creation
Select Cancel to close the Create Customer form without saving the record.
Saved Customer Information
A saved customer displays:
- Display name
- Email address, when provided
- Phone number, when provided
- Active or archived status
- Local customer status
- Edit
- Archive
For an account that is not connected to Stripe, the customer may be identified as a local-only customer. No Stripe setup is required to create or use the customer record within CrumbsOS.
Search for a Customer
Use Search by name, email, phone, or status to filter the customer list.
Customers can be found using:
- First or last name
- Display name
- Email address
- Phone number
- Status, such as Active
The results update as the search value is entered.
Clear the search field to return to the full customer list.
Edit a Customer
- Turn Admin Tools on.
- Locate the customer.
- Select Edit.
- Update any of the following:
- First name
- Last name
- Display name
- Phone
- Select Save Edit.
Select Cancel to leave edit mode without saving the changes.
Display name
The edit form provides a separate Display name field.
Use it when the name shown throughout CrumbsOS should differ from the customer’s first-and-last-name combination. For example, a business customer could use a recognizable company or account name as its display name while retaining a contact person’s first and last name.
Archive a Customer
The Customers page uses Archive to remove a customer from the active customer list.
- Turn Admin Tools on.
- Locate the customer.
- Select Archive.
The customer is removed from the active list.
Archiving is useful when a customer should no longer appear among active records but the customer record should remain separate from current customers.
View Archived Customers
Select View Archived to include archived-customer records in the page’s archived view.
When archived viewing is enabled, the control changes to Hide Archived.
Select Hide Archived to return to the standard active-customer view.
Search can also be used while working with the customer list.
Example
To create a local customer named Example Customer:
- Select Create a New Customer.
- Enter
Exampleas the first name. - Enter
Customeras the last name. - Enter
example@example.comas the email. - Enter
555-555-5555as the phone number. - Confirm that the default display name is Example Customer.
- Select Save Customer.
The resulting record displays:
- Example Customer
- example@example.com
- 555-555-5555
- Active
- Local-only customer status
The customer can then be found by searching for the customer’s name, email address, phone number, or status.
